From order to invoice. Without duplicate entry.
Six steps, one continuous workflow: whatever is entered in SBM once is reused in the next step – not retyped.
Client + staff = order.
Client and staff master data interlock: 1 client, N employees – rates, §13b and Equal Pay mode per order line. The AÜG documents are created directly from the order.
- Work site / construction site per line
- Temporary agency work contract, assignment instructions (Einsatzanweisung) and specification (Konkretisierung) in one click
- Everything traceable in one file
Hours come in by themselves.
Your employees clock in at the time clock terminal or on the go via the app – the actual hours appear in the digital timesheet (Stundenzettel), booked to the right order.
- Time clock terminal and mobile app (clock in / clock out)
- Manual entry in the timesheet
- Excel and PDF import
SBM does the maths. In line with the collective agreement.
Raw hours in – checked pay values out: Equal Pay, industry supplements (Branchenzuschläge) and experience supplement by pay group and collective agreement, capped at the comparable pay.
- Supplements calculated automatically
- Equal Pay with cap
- GVP/iGZ collective agreement logic built in
The safety lock.
Approval comes before payroll and invoicing: check the values, approve them, lock the month. Discrepancies show up here – before they reach your tax adviser.
- Discrepancies are flagged, not hidden
- Locked month = reliable figures
- Check and lock first – then payroll and invoicing
One click. DATEV.
SBM checks every wage type (Lohnart) against the DATEV monthly records, flags discrepancies and hands over the checked payroll run – the payroll itself is produced by your payroll program. Three routes, your choice:
- DATEV interface – Lohn und Gehalt / LODAS
- PDF / Excel batch export to your tax adviser
- And to Addison as well
One more click: the invoice goes out.
From the order and the checked hours, SBM creates the e-invoice – ZUGFeRD 2.3 / XRechnung, hybrid PDF/A-3b with XML. After that, dunning takes over.
- By construction site, period or person
- §13b taken into account automatically
- Incoming payments, open items, multi-stage dunning

- Several assignments per day
- Supplements per client
- Separated on every invoice
Problem Clients send their own time records – and these get retyped.
Import your clients' time records instead of retyping them.
If the client records the hours in its own system, SBM reads in its PDF record and creates the monthly timesheet from it – allocated per client. We can add further formats.
- PDF time records from clients
- Allocation per client
- New formats can be added
Problem Pay and charge rate per assignment are kept in Excel lists.

- Leave requests & sick notes via the app
- Holiday planning as a list
- Values for the payroll handover
Problem Errors in the timesheet only come to light after payroll has been run.

- PDF/A-3b + XML
- Email per client (Outlook)
Problem Open items are compared with the bank statement line by line.
Import the bank statement – payments are matched automatically.

Frequently asked questions about temporary staffing software
Which software is best for temporary work agencies and staffing providers?
The best software for a temporary work agency maps the entire process of temporary agency work in one system and fits your payroll program. Important criteria are: Equal Pay and industry supplements are calculated automatically, the AÜG documents are created from the order, hours arrive in the timesheet via app and terminal without retyping, there is a DATEV interface and e-invoicing, and you can reach your support contact personally. SBM from Softlare GmbH is industry software for temporary staffing that covers these points. In a free presentation based on your own processes, we show you whether SBM suits your company.
What does temporary staffing software like SBM cost – and is SBM available free of charge?
SBM is not free software: as with any temporary staffing software, the price depends on the modules enabled and the size of your company. Modules such as the mobile app, chip management for the terminals or document management are enabled individually. The time clock terminals are available under a separate rental agreement. We tell you the terms in the free online presentation (approx. 45 minutes) and set them out in the contract.
Does SBM run the payroll itself?
No, SBM does not run the payroll itself: SBM is temporary staffing software with payroll preparation; the payroll is run in your payroll program. SBM prepares hours, supplements, Equal Pay, industry supplements, holiday, sickness, working time account and advances as wage types and hands them over to DATEV or Addison – in-house or at your tax adviser's. Payslips and social insurance notifications are produced by the payroll program; SBM maintains the master data required for them, such as person group, contribution group and occupation code. Before the handover, SBM checks every employee for missing or unusual hours and reconciles the values with DATEV.
Does SBM have a DATEV interface?
Yes, SBM is temporary staffing software with a DATEV interface for the payroll handover. Online via DATEVconnect, SBM reads client companies (Mandanten) and employees and transfers the monthly values as wage types. Without online access, SBM creates a file for DATEV Lohn und Gehalt or LODAS. Employee data can be imported from DATEV, and before month-end closing SBM reconciles the values with DATEV. Besides DATEV, a handover to Addison is also possible.
How does switching from another temporary staffing software to SBM work?
Softlare handles the switch to SBM for you: data migration, setup and training for your team. We migrate the data that your previous program can export; employee data can also be imported from DATEV. SBM is set up on the basis of a questionnaire on the collective agreement, working time account, payroll program, exports and invoice layout. Your payroll program stays as it is. The duration depends on the volume and quality of your data; we agree the timeline together.
Does SBM calculate Equal Pay automatically?
Yes, SBM calculates Equal Pay in temporary staffing automatically. For each client you set the Equal Pay type: after 9 months, from the first day or with industry supplements by length of assignment (equivalent pay after 15 months at the latest). From this, SBM determines the start and end for each employee and client – with up to seven supplement stages up to 15 months – and calculates using the comparable pay stored for the client. The values appear per day in the timesheet and go into payroll preparation as wage types. This way, no employee reaches Equal Pay unnoticed.
Does SBM run in the cloud or locally – and where is the data stored?
SBM is a Windows application with its own cloud database for each customer company; the servers are located in Germany. You install SBM on a current Windows 10/11 PC or on a terminal server – you do not need your own database server. Each customer's data is kept in its own database, separate from other customers, and is backed up automatically on a regular basis. You store documents in your network folder or, if you wish, with Softlare. Access is controlled by user permissions, and updates download automatically.
Is SBM also suitable for small temporary work agencies?
Yes, SBM is suitable for staffing providers from owner-managed businesses to companies with several branches. Modules are enabled individually, a current Windows PC is enough, and you do not need your own server. Equal Pay, industry supplements and AÜG documents are handled automatically instead of in Excel, even in a small business; as you grow, each branch sees its own orders. SBM is in use at staffing providers in industry, plant and pipeline construction, welding, logistics, care, energy and construction. Membership of an association is not required. In short: SBM is software for temporary work agencies, temporary staffing companies and staffing providers of any size.
What is temporary staffing software?
Temporary staffing software – also called industry software for temporary staffing – maps temporary agency work in one program: employees and clients, orders and assignments, time tracking and timesheets, Equal Pay and industry supplements, AÜG documents, invoicing and the handover to payroll. Staffing providers use it to replace Excel lists and isolated solutions. SBM is software of this kind for temporary staffing, developed by Softlare GmbH in Worms.
What is SBM and who is behind it?
SBM (Softlare Business Management) is temporary staffing software – software for temporary staffing and temporary agency work – for staffing providers in Germany, developed by Softlare GmbH in Worms. SBM combines orders and assignment planning, time tracking via app and terminal, timesheets, Equal Pay and industry supplements, AÜG documents, e-invoicing and payroll preparation with handover to DATEV or Addison. The software is available in more than eight languages. Softlare develops, implements and supports SBM itself; development and support are based together in Worms. Softlare GmbH is a supporting member of the GVP, the Gesamtverband der Personaldienstleister.
Which software covers the entire workflow of a temporary staffing company?
SBM covers the operational and commercial workflow of a temporary staffing company in one system. This includes staff and contracts, clients and orders, assignment and shift planning, time tracking and timesheets, Equal Pay and industry supplements, AÜG documents, invoicing with open items and dunning, payroll preparation, digital personnel file, deadline alerts, branches and statistics. Not included are the payroll itself – it runs in DATEV or Addison – and a recruiting module. SBM is therefore software for staffing providers and temporary staffing – industry software, not a general HR program.
Is SBM software for temporary agency work under the AÜG?
Yes, SBM is software for temporary agency work under the AÜG. From every order, SBM creates the documents: temporary agency work contract, specification with maximum assignment period, assignment instructions, risk assessment and information sheet. You store the maximum assignment period per client, and the dashboard reports upcoming deadlines. SBM calculates Equal Pay and industry supplements automatically. Legal responsibility remains with the temporary work agency – SBM helps ensure that deadlines and mandatory documents are not overlooked.
How are industry supplements calculated in temporary staffing?
Industry supplements are calculated as a percentage supplement on the collectively agreed hourly pay, rising in stages with the length of the assignment at the client; SBM applies each stage automatically. The GVP pay tables are already stored in SBM; you assign the industry collective agreement and the supplement scale per client or order. SBM shows the supplements in the timesheet, in payroll preparation and in the statistics. You apply a collectively agreed pay rise to all employees in one step from the effective date.
How does time tracking work with SBM?
SBM records working hours via the time clock terminal, via the employee app or directly in the digital timesheet. The terminals have a built-in SIM card: plugging them in is enough, provided there is power and mobile reception; employees clock in with a chip or card. In the app, employees clock in with GPS, even offline. After approval the hours appear in the timesheet, and SBM automatically splits them into Saturday, Sunday, public holiday and night – separately for payroll and invoicing. SBM reads in your clients' time records in PDF format instead of you having to retype them.
How does SBM plan assignments and shifts?
In SBM you plan assignments via orders and the scheduling board (Dispotafel). The scheduling board shows all assignments per client and work site as a list or Kanban board, with a separate column for available employees; when assigning, you filter by available, currently deployed or all employees. You plan shifts in the shift roster and publish them for your employees. The dashboard shows registered employees, monthly hours, open invoices and upcoming deadlines.
Is there an app for employees?
Yes, SBM includes an employee app (Mobile App module). Employees clock in and out with GPS, even offline with later synchronisation. They report sick, request leave, view their payslips as PDFs and sign documents such as the assignment instructions digitally. They log in with a code or QR code. The app is available in German, English and Turkish.
Which interfaces does SBM have?
SBM has interfaces to the payroll programs DATEV and Addison and to the common formats for invoicing and banking. In detail: DATEVconnect online and file export for DATEV Lohn und Gehalt and LODAS; monthly export to Addison; e-invoicing to ZUGFeRD 2.3 and XRechnung; time clock terminals and employee app; import of bank statements for matching payments to invoices and of clients' PDF time records; Excel exports; emails and mail merge letters via Outlook. We review further connections on a case-by-case basis.
Is SBM ready for mandatory e-invoicing?
Yes, SBM creates every invoice as an e-invoice in ZUGFeRD 2.3 format with XRechnung or EN 16931 profile. The XML data is embedded in a PDF/A-3b file that your client can also read as a normal PDF. This means every invoice is available in the structured format required by mandatory B2B e-invoicing (mandatory issuing from 2027 or 2028). Time records are attached, and SBM prepares the email in Outlook for each client.
Does SBM have a recruiting or applicant management module?
No, SBM does not have its own recruiting or applicant management module. You keep applicants in SBM as a status in the staff list; their data is retained when they are hired. The contact manager documents contacts, calls and tasks relating to employees and clients, and you manage prospects as a separate client role. If you use an applicant management system, you use SBM for the operational part: assignments, hours, Equal Pay, payroll preparation and invoicing.
Can SBM be adapted to your own processes?
Yes, SBM is adapted to your processes through settings – without a special version. Features and modules are enabled per customer, and you set read and write permissions for each user. All forms are Word templates with 180 variables for your letterhead and your wording. On request, we set up invoice layouts to match your client's template. If a feature is missing, we check whether it can be implemented and discuss effort and costs in advance.
How do I reach SBM support?
